NEW! VOICEMAIL GREETING MANAGER

HOW DO I RECORD A NEW VOICEMAIL GREETING?

Creating and recording a new voicemail greeting just got a whole lot easier with our new Voicemail Greeting Manager available within your Admin Portal. Watch this short (3 Min) video to learn about our new way of recording and managing your voicemail greetings!

STEP BY STEP INSTRUCTIONS:


To record a new voicemail greeting follow these simple steps:

STEP 1: Pick up the handset on your Weave handset and dial *86 and record your greeting.

STEP 2: Log in to your ADMIN PORTAL (https://app.getweave.com/admin/login)

STEP 3: Select the dropdown arrow next to ‘Phone System’

STEP 4: Select ‘Voicemail Greetings’

STEP 5: Click the ‘Play Icon’ next to a greeting to listen to it.

STEP 6: Give the greeting a name to help you identify it, ie, Open, Lunch, Closed, etc.

STEP 7: Assign the recording one of the following greeting numbers:

  • Greeting Number 1 = Open for Business Greeting

  • Greeting Number 2 = Out to Lunch Greeting

  • Greeting Number 3 = Break/Staff Meeting Greeting

  • Greeting Number 4 = Main After Hours/Closed Greeting

STEP 8: Click on ‘Save’ to save your settings.

STEP 9: Make sure your office hours are set up in your Weave Software Settings by navigating to your ‘Settings’ and selecting ‘Office Hours’. Click the blue pencil icon to edit your office hours for each day of the week. This is what will determine when each greeting is played

Weave also offers an Interactive Voice Response for offices that would like to route their callers into a menu.   If you are interested in more information about how this works check out our IVR - Interactive Voice Response option from the menu on the left hand side of this screen.


HOW CAN I LISTEN TO MY VOICEMAIL MESSAGES IF I AM AWAY FROM THE OFFICE?

If you want to be able to listen to your office voicemails when you are outside of the office you can sign up for “Email and or Text” notifications.

If you would like to receive an email and/or text when you are away from the office, letting you know that a new voicemail has been left contact our Support Team by clicking on the blue chat bubble below or your emailing your Weave Onboarding Representative to add this feature.

Once you have signed up for Voicemail Notifications you will be sent a notification that a new message has been left. Clicking on the hyperlink in the email or text will take you to a HIPAA secure link where you will log in to your Admin Portal with your Weave user name and password. From here you can listen to your voicemail messages.

STEP 2:

Click 'Play’ icon to listen to the voicemail recording.

STEP 3:
If you need to re-listen to the voicemail go back to your original text or email notification and click on the hyper link or button again.
