Access Weave Insurance Verification for Dental
Weave’s Insurance Verification is meant to save hours and alleviate that pain for greater customer satisfaction, higher recommended treatment plan acceptance, and additional referrals in dental offices.
Insurance Verification is only available for U.S. customers.
With accessibility in multiple areas of the desktop app, Weave Insurance Verification provides easy access to insurance information with verification responses returning within 10 seconds of the request.
With each successful verification, you'll see a first-of-its-kind eligibility report that allows for dynamic controls, filtering, and direct upload into your practice management system’s document center to avoid inaccurate data or missing information.
While our product is ever-evolving, accepting more clearinghouses, and always being improved, there are simply some payers that haven’t adopted the technology to allow us to electronically verify patient eligibility. Automatic Verification
The availability of this feature is dependent on your practice management software. You must have WeavePlus. See how your software integrates with Automatic Verification
Weave Insurance Verification will attempt to verify insurance automatically for every patient on the schedule approximately 24 hours before their scheduled appointment time. See how to optimize your practice management system to work best with Weave Insurance Verification.
Turn on Automatic Verification
- Select
Schedule in the Desktop App
- Click the
Settings icon in the top right corner
Toggle on Automatic Insurance Verification
- Use the
dropdown to select how many days in advance automatic verification should take place before each appointment
These settings will automatically save.
On-the-spot Verification
Weave's on-the-spot verification is available to most offices whether they have a compatible management integration** or not. Here how to begin verifying insurance eligibility quickly:
- Open the Weave Desktop App
- Use the
Search Bar to find the patient whose insurance needs verification
- Click on the patient's profile
- Select the Verify button
Tip: You can also select Verify on the schedule page below the patient’s name. - Fill out the insurance information including:
- For those without a compatible management system integration:
- Company/Payer Name
- Member ID
- Patient First & Last Name
- For those with a compatible management system integration:
- Search by the patient's employer or Group ID
Note: When using the additional search bar with a compatible PMS integration, Weave will attempt to pull in Employer Insurance Groups or Employer Plans as synced from your management system. You may search in this bar by the Employer Name or the Group ID. This will auto-fill as many fields on the form as possible to save you time.
Refresh the list of plans and employers from your PMS in real-time for accurate search results.
- Fill out the Company/Payer Name
- Member ID
- Insurance Payer

- Patient First & Last Name
- Patient DOB
- NPI Selector
- Tax ID
- Search by the patient's employer or Group ID
- For those without a compatible management system integration:
- Select Verify once the required fields are completed
Once Weave verifies patient insurance, you'll be able to:
- See the status of patient eligibility
- View a full report of their insurance information including benefits, patient procedure/claim history, maximums, deductibles, remaining coverage per calendar year, and other useful data

Troubleshooting TipsIf an error occurs during on-the-spot verification, you will be notified after clicking “Verify”.
Usually, errors are related to missing or incorrect data used for verification. If the error says that a payer “isn’t responding” or “can’t communicate right now”, please try again in a few minutes to verify that patient’s insurance. Sometimes payer systems can take a minute to respond to requests for verification, but we’ve had success in trying again after a minute or two.
We are actively monitoring each of the requests sent with Verify to quickly address any issues with connectivity as they come up. We are also actively working with Vyne, our partner with Verify, on making this experience as seamless as possible over the coming months.

Understand Insurance Verification Statuses
Get Started with Weave Insurance Verification by clicking Subscriptions in the Weave Portal menu.
You must have the user role of Admin to sign up for Weave Insurance Verification.
The Insurance Status on each schedule row indicates the current status of that patient's insurance eligibility. The following are the possible values for this status as well as what they mean:
- Active: the patient's carrier has legitimized and authenticated their insurance plan & benefits, and you can view the eligibility report by clicking on the
dropdown arrow and clicking View Report
- If you have a compatible integration, Weave will ask you if you’d like to update the patient’s insurance information in your management system following a successful verification attempt to clean up outdated data
- Inactive: the patient's insurance carrier has returned a response that indicates the patient is no longer covered on that particular plan. If the patient indeed does have active coverage, you should proceed with on-the-spot verification by clicking the
dropdown arrow next to the value and clicking Retry
- Failed: the attempt to verify insurance for that patient has failed. You can see what the specific issue is by clicking the
dropdown arrow and clicking View Error Details. Most of the failure states you’ll encounter with Weave Insurance Verification are due to a specific payer not-yet being supported with our product. If you’d like to see which payers are supported, please click here.
- Investigate: Weave would like you to investigate the attempt to either correct some outdated information or re-issue the request for verification. Sometimes it means that Weave stopped the verification attempt preemptively because some necessary data is missing from the patient’s chart, such as their member ID, their date of birth, or their plan name. It can also mean that an attempt was performed, and we deemed the subsequent failure fixable with a quick investigation to correct outdated information. Clicking on the
dropdown arrow next to this value and clicking View Details will show you what needs to be corrected for the verification attempt to work
If you see another status value, such as Verify, the automatic attempt to verify insurance was not performed. Click the link to be redirected to the on-the-spot verification form.

Access Patient Eligibility Reports for Insurance Verification
Get Started with Weave Insurance Verification by clicking Subscriptions in the Weave Portal menu.
You must have the user role of Admin to sign up for Weave Insurance Verification.
You can only access the eligibility report if the status of verification for the patient is Active.
Access the eligibility report:
- Open
Schedule in the desktop app
- Click Active in the schedule row for the patient whose insurance eligibility report you would like to see
- Choose to see the eligibility report from the pop-up menu
- Open
Patients in the desktop app
Search the patient name using the bar at the top of the desktop app or scroll to the name
- Click into their profile and scroll down to the insurance section
- Click View to open the report
Use the filtering and search functions within the eligibility report to quickly find information. Save a filtered view and have it write back directly back to your practice management system's document center.
Insurance eligibility reports are kept in Weave for 30 days. Once the 30 days have passed, the data will be removed from Weave to protect the security of your practice's data.

Weave has partnered with Vyne, a leading tech company in digital claims management and insurance verification. Not all payers are supported at this time, but we are continuing to work with our partners to add more to our network. For a list of all supported payers, click here.
