By creating Contact Directories within the Weave Portal, each Yealink phone in your office can subscribe to up to 5 shared lists of business contacts. You may want to create a list for insurance payers, billing, hospital contacts, landlords, labs, and other providers.
You must have the user role of Super Admin or Phone Manager to access this feature. See your role.
This feature is only available for Yealink Phones. See your role.
Find Office Extensions List on Your Yealink Device
Yealink phones automatically provision a list of your office extensions. To find this:
- Push the Directory button
- Click the folder Local Directory
- Select the Extensions folder. Non-extension contacts will have their own folder called Contacts
Contact Directories within the Weave Portal
Within the contact directories page, you can click between the three tabs at the top of the page to see:
Contact Lists: Contact Directories that are already created. See which devices are assigned to each list by clicking the number of devices next to the name
All Contacts: Any contacts that have been added to any Contact List
Device Assignments: Contact Lists that are assigned to each office phone. Click the Edit button to add or remove lists
Note: Each phone can be assigned up to 5 contact lists.
Create a Contact List
- Within the Weave Portal, select
Phone from the left navigation menu
- Click Contact Directories in the
dropdown menu
- Select Add New List in the top right corner
- At the top of the pop-up, add a list name by clicking the
Edit icon
- Check the box next to all Yealink devices you would like to access this list
- Click Save in the bottom right corner
- Select Add Contact
- Choose if you would like to Add New Contact or Add Existing Contact (contacts that have been created for other contact directories)
- After selecting Add New Contact, fill out the Name and Phone Number
- Click Add Another Contact to continue creating new contacts or click Save Contact to go back to the list
- After selecting Add Existing Contact, check the box next to the contacts you would like to include. These are contacts that have been added to other lists
- Click Save
If you don’t see the contact list on the new phone, try rebooting the phone.
Assign devices to a list that is already created
- Within Contact Directories, choose the list that you would like to assign to the device(s)
- Select the
Ellipses icon next to the list name
- Click Assign List to Devices
- Check the box next to the device(s) that needs the list
- Click Save
Remove a contact from a list
- Within Contact Directories, find the contact directory you would like to remove the contact from
- Click the
Ellipses icon next to the contact in the list
- Select Remove from List
Contacts that are removed from a list are kept in the Contact Directory for use on other lists.
Delete a contact from all contact lists
- Within Contact Directories, open the All Contacts tab at the top of the page
- Find the contact you would like to delete
- Select the
Ellipses icon next to the contact
- Click Delete Contact
Deleting a contact will remove it from the Contact Directories completely. It will no longer reside on any list, and you will not be able to add it to lists later.
You can also use the checkbox or the Select All checkbox at the top to delete contacts or add them to a list. If you choose to Delete Contact instead of Remove from List in a contact directory, it will permanently delete the contact across all directories.
Delete a List
- Within Contact Directories, choose the list that you would like to delete
- Select the
Ellipses icon next to the list name
- Click Delete Contact List
